Providing and Organizing Processes

Processes must be provided and classified in the process hierarchy so that they can be reached via the navigation.

Comprehensible navigation to a process requires a suitable process hierarchy. Process hierarchies are normally represented by linked process maps. A process map at the lowest level then provides access to specific processes. These structures are often already managed in the modeling tool.

As a BPM Manager, you first build the process hierarchy as a tree structure with several levels, without process maps.

If process maps are used, the number of elements on the sublevel normally corresponds to the number of shapes to be linked in the respective process map.

To set up the Process Space, the following tasks generally have to be completed:

Create the process hierarchy

If a process hierarchy is to be used, it must be built in Bpanda on the Manage Process Space page (Settings main menu) — regardless of whether process maps are to be used or not.

You can create elements on several sublevels. Levels 0 to 3 are supported visually by the process pyramid; further levels are possible.
Provide process maps

You create the process maps for all elements of all intended levels of the process hierarchy as an SVG file in the modeling tool, in Microsoft PowerPoint or in the integrated process map editor.
Assign and link process maps

As a BPM Manager, you assign the process maps one after the other for each element on the Process Hierarchy page (Processes > Process Hierarchy main menu), starting at the top level. You then link them to subordinate levels.
Provide processes and classify them by linking

To finally be able to access the processes themselves, the processes must first be provided in the Modeler (newly created or imported from a BPMN file), then assigned to the levels and linked from these.

As a BPM Manager, it is up to you whether you first build the process hierarchy or first provide the processes (or have them provided by a Designer). Both are required in order to link the process hierarchy and the processes to each other.

The following starts with building the process hierarchy and assigning process maps.

To simplify the creation of the process structure in the Process Space, several processes can be assigned to one element of the process hierarchy.

To temporarily or permanently stop displaying one or more processes for other users, Process Owners or BPM Managers can hide processes. In effect, this is equivalent to deleting the process.

Providing and Assigning Processes

Processes must be provided and classified in the process hierarchy so that they can be reached via the navigation.

Processes are created as a draft in the integrated Modeler via Create > Process; there you can also import a BPMN file as a draft. Once submitted, they are available as Unassigned processes for assignment to a hierarchy element. A hierarchy element is normally visualized by a process map.

Exporting Process Data

Process data can be exported as a CSV file.

Process revisions and Process Owners (lanes) can be exported as a CSV file. The process information of the process data to be exported can be filtered in the process.
