Creating a job

A job can be created from a valid process as often as required.

A job can be created from a valid process as often as required. The job consists of a series of activities from the process that have to be carried out step by step by the employees assigned to them.

In the Favorites, Relevant Processes or Recently Viewed overview, the Create Job icon shows you that a process is valid and therefore generally suitable for a job.

When you click the icon, a check is first carried out to see whether a job can be created. If this is not possible, for example because unsupported elements are included, a message informs you of the reasons. On the process page, you can recognize this immediately by the triangle on the Create Job button. Click the triangle to display the message.

Note: The following are not supported:

Inclusive gateways.
Event-based gateways.
The use of more than one start event.
All boundary events.
All typed events (assigned to an event category) except messages as start or end events.

Untyped start and end events are supported.

If a job can be created from the process, clicking the icon starts the job wizard.

In the job wizard, you can specify the job in more detail with a title, a deadline and further information.

The job title is preset with the process name. A unique and understandable job title makes it easier to select and evaluate jobs.

A deadline should be set especially for time-critical jobs. However, the deadline generally determines the order of the jobs in the Tasks and Jobs overviews. Jobs whose deadline is closest are displayed at the top.

All information can be edited later as Job Details.

Prerequisites

A job can be created from a process if it is valid, contains no relevant modeling errors and contains only supported elements.

If the process is not valid, no Create Job button and no corresponding icon are displayed.

Context

A job converts a specific, valid process into a series of activities that have to be carried out step by step by the employees assigned to them. A job is the repeatable “routing slip” of a valid process.

Attachments of a process or a process step are assigned to the job and are available to the processors.

You can create a job on the process page with Create Job and on the Favorites, Relevant Processes and Recently Viewed overview pages with the Create Job icon.

Note: Note that many jobs can be created for one process. The name of the job should therefore be unique. You should specify a deadline not only for time-critical jobs, because jobs are always displayed in the order of their deadline.

How to proceed

Go to the process page of a valid process or to the Favorites, Relevant Processes or Recently Viewed overviews.
To create a job for a valid process, click Create Job for this process.

If the process has no relevant modeling errors and no unsupported elements, the job wizard is displayed.

Otherwise, a message with the reasons for the failure to create the job is displayed.
Enter the name of the job in the Job Title input field. The field is preset with the process name.
Click in the Job Deadline field and select the completion date for the job in the date dialog that is displayed.

The job is sorted accordingly in the overviews.
Enter further information about the job in the Job Data input field.
Click Create Job.

The job is created and the job page is displayed.

The job is initially assigned to you as the Owner of the job.

If the job begins with a start event that is not in your area of responsibility (lane), you should assign the job to a responsible employee.
