Editing a Process Map

As a BPM Manager, you can use the integrated Process Map Editor to edit process maps created with it.

Prerequisites

You are a BPM Manager.

Context

You can easily edit a process map or its draft using the Process Map Editor.

The edited process map can be saved as a draft and assigned to a hierarchy element in the Process Space by submitting it.

If the process map draft was assigned to a particular hierarchy element when it was first submitted, then after editing it can only be submitted for that element due to this assignment. Existing links of the same area elements are retained in the process.

If you want to save a copy of the process map draft without this assignment, for example to be able to reuse it as a template, use the Save as command.

The process map can also be saved as a graphic so that you can insert it into other documents.

Restriction: Process maps imported as SVG files cannot be edited in the Process Map Editor.

The Process Map Editor offers the following operating areas.

Top toolbar

The toolbar offers functions for the draft as a whole. If you position the mouse pointer over an icon, the function is displayed.

• New draft, Reset draft
• Open draft
• Save draft, Save draft as
• Delete draft
• Import BPMN file as draft
• Export process map
• Undo
• Redo
• Translate into other languages

Left toolbar

The toolbar offers functions for creating, grouping, deleting, duplicating and arranging draft elements.

When you click an area icon or the text icon, a corresponding element is created and placed under the mouse pointer so that you can position it in the process map.

The text can also be edited in the Properties within a grouping of an area element and a text element.

Caution: Grouping creates a reference object for the link. Consequently, ungrouping a group while editing a linked process map later results in the loss of the group’s link.

You can change the display size incrementally within a certain range or fit the diagram size to the window.

Properties

The Properties area on the right can be expanded and collapsed.

Here you can specify the fill color of the elements if the Color option is enabled under Manage Process Space on the Modeler Settings tab.

How to proceed

You have two ways to open a process map in the editor:

• To edit a process map used in the process hierarchy, select Processes > Process Hierarchy in the main menu and there ⋮ Create new draft for the process map.
• To edit an existing draft of a process map, click the draft under Drafts on the Process Maps tab.

The Process Map Editor appears with the process map.

1. To add an area element, click an area icon in the left toolbar, drag it to a free position and click to create it.

   The element is created.

2. To label an area element, click the text icon in the left toolbar, drag it onto the area element to be labeled, click to create the label, and enter the text.

   The area element is labeled.

3. To group an area element and a text element so that they can be moved together, select them and click Group selected objects.

4. To edit a text element, select it, expand the Properties and edit them.

5. To save the draft, click Save draft in the top toolbar.

   The draft is saved under the name you entered. It appears on the Drafts page.

6. To save the diagram as an SVG or PNG file, click the desired graphic type in the Export process map submenu in the top toolbar.

   The draft is saved in the default download directory.

7. To add the draft to the process hierarchy as a process map, click Submit at the top.

   The Submit as process map dialog appears.

8. To submit the process map, select the hierarchy element to which it is to be assigned and click Submit.

   The draft is submitted as a process map for the hierarchy element. This process map can be edited again as a draft.
