Getting to Know the Process Hierarchy and Organisation

Process maps are used to gain an overall view of the process landscape.

Process maps are used to gain an overall view of the process landscape. They group the processes by areas of responsibility and let you navigate to the individual processes.

To gain an overview of the Organisation that forms the basis of the Process Space, its structure, units and relationships as well as the roles and assignments of employees are managed.

Process Hierarchy

Process maps are used to gain an overall view of the process landscape of an organisation or a part of it. They group the processes by areas of responsibility and let you navigate to the individual processes.

What the process maps show

Bpanda initially displays the top-level process map on the home page. However, the BPM Manager can define a different entry point. Clicking an element of the process map takes you one level down and to the Process Hierarchy page. From here, you can navigate down to the processes.

Processes map the workflows of a particular area of responsibility. Process maps show how the processes of an organisation are structured and linked to each other, in other words how they are assigned to areas of responsibility and, where applicable, how they follow on from each other over time.

A distinction is usually made between

  • Management processes (strategy, corporate management, finance, controlling, occupational safety)
  • Core processes (product development, marketing, sales)
  • Support processes (accounting, human resources, quality management, infrastructure, communication)

In the Main Menu under Processes > Process Hierarchy, the BPM Manager manages both the assignment of process maps (SVG graphics) to the process hierarchy and the linking of their area elements in the Process Map tab.

A process map contains named area elements, each of which is linked either to another hierarchy element and its process map or to a process. Existing links are optionally highlighted by shading.

As a BPM Manager, you can call the commands Edit Links, Edit Existing Draft, Replace Process Map and Remove Process Map in the ⋮ submenu.

How you use the process hierarchy

The tree view of the process hierarchy can be shown from the left. The display in the Process Map and Overview tabs relates to the element selected in the process hierarchy.

The processes can be hidden to provide a better overview.

As a BPM Manager, you can manage the process hierarchy under Settings > Manage Process Space and call the Edit Process Hierarchy command directly at the bottom of the displayed process hierarchy.

How you keep an overview

The Overview tab of the Process Hierarchy page displays the description as well as the subordinate process maps and processes for the selected hierarchy element.

As a BPM Manager, you can edit the hierarchy element displayed in the page header on a separate page using the ⋮ Manage Level command. Clicking the toggle icon switches to the two-column mode with source language and target language. In addition, the entry point in the process hierarchy can be defined here for Organisational Units, Organisational Roles, groups and individual users in order to restrict it to a particular branch.

Organisation

The structure of the organisation, its units and relationships as well as the roles and assignments of employees make the areas of responsibility in the processes transparent and enable employees to be assigned.

What you manage in the organisation

On the Organisation page, as a BPM Manager you manage the structure of the organisational units, their relationships with each other as well as the roles in your organisation and the assignment of employees to Organisational Roles and Organisational Units.

The Organisational Roles and Organisational Units can be assigned as Process Participants on the process page.

Organisational Units, specific relationships between them and Organisational Roles can be typed in order to group them consistently.

The employees of your organisation on the one hand and the areas of responsibility and roles on the other can easily be assigned to each other in both directions.

What the organisational structure shows

While the process hierarchy illustrates the structure of the processes, the Organisational Structure maps the part of your company’s organisational structure that is relevant for the Process Space. It thus shows the available competencies in the areas of responsibility.

As part of the operational organisation, processes map their internal and external collaboration, among other things.

The overall system therefore illustrates the current implementation of division of labour, specialisation, cooperation and coordination.

The Organisational Structure can be imported from Innovator.

How you use the organisational structure

The tree view of the Organisational Structure is shown by default and can be hidden to the left. The display on the right-hand side relates to the currently selected Organisational Unit.

As a BPM Manager, you can build, restructure where necessary and manage the organisational structure under Organisation.

To do so, you describe the competencies and tasks of the Organisational Units and assign users to them as responsible persons, deputies and members, for example. In addition, Organisational Units and Organisational Roles can be assigned to each other.

Besides the hierarchical relationships between Organisational Units, other relationship types (e.g. professional cooperation) can also be managed.

Organisational Units can be assigned to a process as Process Participants. Such a process is displayed for the Organisational Unit as a linked process that you can navigate to.

How you use the organisational roles

In addition to the function-related roles managed in Bpanda (BPM Manager, Designer, Process Owner, etc.), independent Organisational Roles can be used when managing the organisation in Bpanda.

With the Organisational Roles, as a BPM Manager you describe the competencies and tasks of a position within the organisation. You can assign the Bpanda users to these roles.

Organisational Roles can be assigned to a process as Process Participants. Such a process is displayed for the Organisational Role as a linked process that you can navigate to.

How you assign the employees

As a BPM Manager, you can assign Bpanda users directly to the Organisational Units and Organisational Roles. They are then managed as employees of the organisation.
