Assigning Users and Bpanda Roles

Roles bundle certain functions that are assigned to a user directly or through membership in a group.

Roles bundle certain functions that are assigned to a user directly or through membership in a group. Roles are usually assigned in relation to a process or its review. If several roles are assigned to a user for a process, they can use all the corresponding functions.

Bpanda roles provide a user with certain functions, either directly or through membership in a group, because the role gives them certain authorizations. A user can always use all the functions of their roles.

Bpanda roles without a process reference are the BPM Manager and the Designer. These roles are assigned by a BPM Manager in the Process Space.

Role assignment for processes can be carried out by BPM Managers or Process Owners and covers Process Owners, Process Contributors and Process Participants. Among other things, these role assignments mean that the processes are displayed to the users under Relevant Processes.

In addition, Process Owners can define the Owners and Participants of a review during a release process. The Review Owner can also do this.

The following tasks therefore have to be completed when assigning Bpanda roles:

Defining BPM Managers in the Process Space

In the account management, certain users are given a special license that allows them to import processes and use the integrated Modeler. Only these users automatically have the Designer role in the Process Space.

One of these users is initially defined as the BPM Manager of the Process Space in the account management.

Further BPM Managers can only be selected from among the Designers in the Process Space.
Inviting users to the Process Space

In order to be able to assign users and roles in the Process Space, users have to be invited to the Process Space by the BPM Manager. Only users that exist in the associated account management can be invited to a Process Space.
Defining an Owner for a process

A Process Owner is initially defined when a process is imported for the first time or when a draft is submitted as a process for the first time. The importing BPM Manager or Designer automatically becomes the Process Owner.

In both roles, you can define any other user as the Process Owner and remove yourself as the Process Owner.
Defining further Owners, Participants and Contributors of a process

The other role assignments for processes can be carried out by BPM Managers or Process Owners and cover Process Owners, Process Contributors and Process Participants.

Among other things, these role assignments mean that the processes are displayed to the users under Relevant Processes.
Defining the Owners and Participants of a review in the release process

Process Owners can create a review during the release process and define its owners and participants.

Bpanda Roles with a Process Reference

Process Owners, Process Contributors and Process Participants can be assigned to a process.

Role assignment for processes can be carried out by risk managers or Process Owners. It covers the Process Owner, Process Contributors and Process Participants. These role assignments mean that the processes are displayed to the users under Relevant Processes.

Process Owners are responsible for the process. They decide on the release and publication of a process.

Process Owners and Process Contributors can manage the attachments for the process and have access to all process versions.

All users who take part in carrying out the process should be assigned as Process Participants.

Bpanda roles can be specified based on certain competencies using role labels for process-specific responsibilities.

Bpanda Roles for Several Processes

Process Owners, locked users, Process Contributors and Process Participants can be assigned to one or more processes.

Role assignment for processes can be carried out by BPM Managers or Process Owners. It covers the Process Owner, Process Contributors and Process Participants. Among other things, these assignments mean that the processes are displayed to the users under Relevant Processes.

Locked users can also be assigned.

Process Owners are responsible for the process. They decide on the release and publication of a process.

Process Owners and Process Contributors can manage the attachments for the process and have access to all process versions.

All users who take part in carrying out the process should be assigned as Process Participants. The assignment is carried out for process revisions.

The Owners, Contributors and Participants of a process can be selected as the Owners or Participants of its review.
