Running Jobs
Jobs represent the essential elements of a valid process, allowing a series of activities to be carried out step by step according to the intended sequence.
Jobs represent the essential elements of a valid process, allowing a series of activities to be carried out step by step according to the intended sequence.
A job translates a specific process into a series of activities that the assigned employees carry out step by step. A job is the reusable “routing slip” of a valid process, which can be repeated as often as you like.
A job presents the elements of a process that are essential from a workflow perspective in such a way that responsible executors can be assigned to the individual activities. The intended sequence can be monitored and improved where necessary. Comments on the work steps are particularly useful here, as process improvements can be derived from them.
Attachments to the process or to a work step can be viewed directly to obtain detailed information about the work step if required.
Cross-departmental collaboration can be mapped in the job, as can decisions in the process and process steps carried out in parallel by different people.
While a job is being processed, process steps that the person working on it needs but that are not currently mapped in the process can be added. Process steps can also be skipped if they do not apply to the current processing.
Jobs can therefore be used flexibly in day-to-day work, and a subsequent exchange about how the job was actually processed offers potential for process improvement.
Bpanda gives you the following support for executing processes using jobs.
-
You open the overview of your current jobs from the main menu with Jobs. On the start page, the Current Tasks area also shows you your due jobs; the heading opens the My Tasks page. Your group’s jobs are also taken into account.
-
The jobs relevant to you are displayed for execution in the order of the deadline entries.
-
Every user can create a new job on the process page with the Create Job button, provided the process meets the requirements. The process must be valid, and it must not contain any relevant modelling errors or any unsupported elements.
Note: The following are not supported:
- Inclusive gateways.
- Event-based gateways.
- The use of more than one start event.
- All boundary events.
- All typed events (events assigned to an event category) except messages as start or end events.
Untyped start and end events are supported.
If relevant modelling errors have been made or unsupported elements have been used, a dialog opens to show you this. The dialog also shows you where in the process you can find the modelling errors or unsupported jobs.
-
You can also create jobs on the Favourites, Relevant Processes and Recently Viewed overview pages using the Create Job icon.
-
As job details, you can enter a name for the job and, optionally, a deadline for completion as well as notes on execution, etc. as job data.
-
Attachments of the process or of a process step are assigned to the job and are available to the people working on it.
-
Responsibility for a job results directly from taking on the job. This initially assigns you as the person responsible for the job, and you can also execute it. If the job starts with a start event that is not within your area of responsibility (lane), you should assign the job to a responsible employee.
-
Personal responsibility of colleagues or groups for the individual work steps is managed transparently and easily. It can easily be handed over and taken on. This also applies to the responsibility of organisational units.
-
A message can be written as a comment for the job and for each work step.
-
In the job, the current work step is marked in the list and in the process diagram.
-
Unnecessary work steps can be cancelled immediately, and additional work steps can be added. You should comment on both.
-
Completed work steps are marked in the list and in the process diagram.
-
Work steps can be cancelled and reactivated.
-
Once a job has been finally completed, no further changes can be made to it. The job information serves as a record.
